Office Operations Assistant

NY office

Reimagine the infrastructure of cancer care within a community that values integrity, inspires growth, and is uniquely positioned to create a more modern, connected oncology ecosystem.

We’re looking for an Office Operations Assistant to help us accomplish our mission to improve and extend lives by learning from the experience of every person with cancer. Are you ready to be the next changemaker in cancer care?

What You'll Do

  • Access & Security: Maintain secure access for our NYC headquarters using Kastle and LenelS2 systems. You will manage the assignment, tracking, and deactivation of employee and temporary badges
  • Facility Maintenance: Conduct daily walkthroughs to ensure the office is clear of clutter. You will manage appliance repairs, maintain restrooms, and coordinate with building management and third-party experts like plumbers or electricians as needed
  • Employee Experience: Oversee quality services for daily snacks, weekly catered lunch via Fooda, and monthly Connection Days. You will also facilitate seasonal decorations and special events organized by the Employee Experience team
  • Onboarding: Conduct biweekly office onboarding sessions for new hires to ensure a smooth transition into the workspace
  • Shipping & Receiving: Manage the receipt, sorting, and delivery of mail and packages. This includes specialized sorting for departments like Finance, Legal, and HR
  • Office Supplies: Manage inventory and order supplies on a biweekly or monthly cadence to meet productivity needs
  • Reception: Provide reception coverage (Tuesday–Thursday, 8 AM – 2 PM) and help develop a new SOP as we transition toward a self-service, unmanned receptionist model
  • Request Management: Attend to facilities requests through our office ticketing platform (Zendesk) and Slack channels, serving as the first point of contact for employee and subtenant needs
  • Complete ad-hoc projects as assigned by the office manager

Who You Are
You are a kind, passionate, and collaborative problem-solver who understands the impact of empathetic communication and values the opportunity to think beyond the way things are.

  • Education: Bachelor’s degree in business administration or a related field, or equivalent relevant experience in facility management
  • Experience: At least 3 years of experience in office management or facilities oversight in a fast-paced environment
  • Resourcefulness: You are a resourceful troubleshooter with a "can-do" spirit of fulfillment
  • Organization: You possess a strong attention to detail as well as organizational and administrative skills - capable of managing just-in-time requests with varying levels of intensity
  • Relationship Building: You enjoy building and maintaining effective working relationships with people at all levels, including visitors and vendors

Extra credit

  • Experience overseeing facilities remotely or internationally
  • Interest in or possession of a Certified Facility Manager (CFM) credential
